Basic Policy on the Prevention of Misconduct Related to Public Research Funds
The Company, with the aim of ensuring proper management and preventing the misuse of public research funds, shall, in accordance with the objectives set forth in the Ministry of Education, Culture, Sports, Science and Technology (MEXT) “Guidelines for the Management and Audit of Public Research Funds at Research Institutions (Implementation Standards)” (including any revisions issued after the enforcement of these rules), establish the necessary systems described below to ensure the appropriate and smooth operation of research funds and to promote highly reliable research activities.

To ensure proper operation and management of public research funds, the following responsible persons shall be designated:
① Chief Management Officer
The Executive Officer in charge of Risk Management (Head of the Legal & General Affairs Division) shall serve as the person who oversees all operations and bears ultimate responsibility for the operation and management of public research funds.
② General Administrative Supervisor
The Group CTO shall serve as the person who assists the Chief Management Officer and holds substantial responsibility and authority to oversee the overall operation and management of public research funds.
③ Compliance Promotion Officer
A Group Manager of the relevant Research and Development division, designated by the General Administrative Supervisor, shall serve as the person who holds substantial responsibility and authority for the operation and management of public research funds within the Research and Development division.

Compliance education shall be provided to researchers and others involved in the operation and management of public research funds to prevent misconduct.

Rules concerning administrative procedures related to public research funds shall be clearly established and communicated to researchers and others involved in the operation and management of such funds.

To prevent the misuse of public research funds, a misconduct prevention plan shall be formulated and implemented.

For the proper operation and management of public research funds, monitoring and audit systems shall be established and implemented.

A contact point for reporting misconduct shall be established and publicly announced on the Company’s website.

If it is determined that an investigation is necessary based on a report, an Investigation Committee shall be formed to conduct the investigation.

If misconduct is confirmed as a result of the investigation, disciplinary action shall be taken in accordance with company regulations, a report shall be submitted to the funding agency, and corrective measures shall be implemented to prevent recurrence.
